When to place an order

The VDB produces formats for purchase or rental when requested by clients, and often use out-of-house services for special requests. Additional time is required to fulfill special client requests, so that we may ensure venues and institutions receive the highest quality work and service from the VDB.

Average timeline for orders via online form or email:

  1. Order request sent to VDB distribution.
  2. Distribution replies with price quote, format options, and copy of appropriate distribution license agreement.
  3. Client confirms order and price and is free to ask any additional questions.
  4. Distribution contacts client with invoice, license agreement for signature, and information about payment methods.
  5. Client submits payment and returns signed license agreement.
  6. VDB prepares title/s for shipment or digital delivery. For digital files, the VDB Collections Manager will email client with instructions or link. (remember to check spam!)
  7. Client tests VDB title at venue before screening.

Average timeline for order placed through VDB website:

  1. Client submits order through VDB website, including payment and VDB license agreement.
  2. Distribution contacts client with confirmation, invoice, and any additional license agreements required.
  3. Shipment will be made, allow up to 2 weeks for delivery. Single screening shipments will be made at least 2 weeks before the screening date.
  4. Client tests VDB title at venue before screening.

Rush fees

All orders placed without adequate time for processing and handling will be subject to additional fees and cannot be guaranteed for on-time delivery. Processing of rush order requests is dependent upon the availability and timeline of the VDB.

Orders from the United States or Canada are subject to a $25 rush fee when placed with less than two weeks advance notice. For international orders, the $25 rush fee is applied for less than three weeks.

All orders placed with five days or less advance notice are subject to $40 rush fees and additional shipping charges.

If digital files are not downloaded from the VDB within two weeks, resulting in the VDB repeating the digital file upload, an additional fee of $20 per title will be required.
